ERASMUS+ SHORT-TERM PHD TRAINEESHIP MOBILITY
Ph.D. candidates and newly graduated students (‘post-docs’) can benefit from short or long-term physical study mobility, or traineeship mobility abroad with the aim of answering their learning and education needs and providing them equal opportunities. It is also possible to add virtual mobility to physical mobility.
“Post-docs” may participate in traineeships with the same requirements as any other recent graduate within 12 months of graduating.

Duration of the Mobility
Within the scope of the program, short-term Ph.D. mobility can be carried out between a minimum of 5 days and a maximum of 30 days. The mobility period must be carried out without interruption.
PhD students enrolled in Graduate school and in the coursework phase must determine their traineeship dates according to the academic calendar. The traineeship dates mustn’t overlap with the course/exam period for those students. PhD students in the thesis period can carry out their mobilities during the academic term.
Students can perform their traineeship mobility abroad in an enterprise, a research institute, a laboratory, an organization, or any other relevant workplace. Traineeships abroad are supported during studies at any study cycle and for recent graduates.
Traineeship Mobility also includes teaching assistantships for student teachers and research assistantships for students and doctoral candidates in any relevant research facility.
This compromises full-time internships, which are integrated part of a student’s study program determined by Higher Education, or voluntary internships carried out by students. The workload for a full-time internship. In terms of workload for a full-time internship, in principle, the participants have to work full-time based on their receiving organization’s working time.
Eligible Participating Organisations for Traineeship Mobility
- The sector chosen for traineeship should be relevant to the current education program of the student
- No pre-arrangements are required for the chosen institution.
- The receiving organisation can be any public or private organisation active in the labour market or in the fields of education, training, youth, research and innovation.
- List of eligible participating organizations can be found below:
- a public or private, a small, medium or large enterprise
- a public body at local, regional or national level
- embassies or consular offices of the sending country associated to the Programme
- a social partner or other representative of working life, including chambers of commerce, craft/professional associations and trade unions
- a research institute
- a foundation
- a school/institute/educational centre (at any level, from pre-school to upper secondary education, and including vocational education and adult education)
- a non-profit organisation, association, NGO
- a body providing career guidance, professional counselling and information services
- higher education institutions (a HEI from an EU Member State or third country associated to the Programme awarded with an ECHE, or a HEI from a third country not associated to the Programme recognised by competent authorities that has signed inter-institutional agreements with their partners from an EU Member State or third country associated to the Programme, before the mobility takes place.)
- The following types of organizations are not eligible as receiving organizations for student mobility for traineeships
- EU institutions and other EU bodies including specialized agencies( https://european-union.europa.eu/institutions-law-budget/institutions-and-bodies/search-all-eu-institutions-and-bodies_en)
- organisations managing EU programmes such as Erasmus+ National Agencies
Erasmus+ Short Term PhD Traineeship Mobility Selection Process and Required Documents/Minimum Requirements
Students must first meet the following minimum requirements to participate in the activity:
- Being a PhD student enrolled in Izmir University of Economics, Graduate School İzmir
- Having a minimum of 3.25/4.00 CGPA,
- The total period not exceeding 12 months with the new activity if the applicant has benefited from higher education mobility activities in the 2014-2020 and/or 2021-2027 Erasmus+ periods within the current education cycle.
Traineeship mobility can be carried out any year during the study period. Recent graduates can do their internships within 12 months after they graduate. Recent graduates must be selected during their last year of study and must carry out and complete their traineeship abroad within one year of obtaining their graduation. However, considering the 2024 project ending time traineeship mobility must be completed no later than July 31, 2026.
Students who will carry out their traineeship mobility as recent graduates must apply to the program and be selected while they are still PhD students. Students wishing to benefit from internship mobility as recent graduates are required to submit a document regarding their graduation status, which they can obtain from the Graduate School, at the time of application.
Graduated students can not apply to the program.
In addition to the average of success and foreign language scores, when calculating the Erasmus selection score of students who have previously benefited from higher education student or internship mobility within the scope of Erasmus+ (2014-2020 or 2021-2027) within the same education cycle, a deduction of 10 points is applied for each activity previously utilized (regardless of between study-internship distinction).
Required Documents for Application:
- Up-to-date IUE transcript: The students who will apply for this mobility should upload the barcoded transcript, which will be downloaded from E-State Platform. If the transcript on E-State Platform is outdated, an update must be requested via e-mail to IUE Student Affairs Directorate (student@ieu.edu.tr). After the update, the barcoded transcript should be uploaded to the application portal.
- Language Proficiency: Accordingly, students who will apply must also upload their language documents, published at https://sfl.ieu.edu.tr/ingilizce_hazirlik_programi/en/yabanci-dil-yeterligi, showing that they have met the minimum language proficiency required for doctoral programs, to the application portal.
Applications of students who do not include a foreign language certificate in their application documents will not be accepted
- The acceptance/invitation letter received from the receiving institution, which was signed and printed on the traineeship company’s letterhead paper.
- Erasmus Traineeship Company Approval Form: The institution that sent an invitation letter for Erasmus+ traineeship should be approved by the faculty/department’s traineeship commission. At the graduate programs, it should be approved by the relevant head of the department. The signed version of this form should be uploaded to the “Other Documents” area on the application platform. - Other Documents: Documents that are subject to evaluation and may affect the weighted distribution of Erasmus points, and/or documents basing the request for additional grant support should also be uploaded to TURNAPortal.

Matters to be Considered Before Application:
- The number of students to be granted will be determined according to the ERASMUS+ score of the applicants based on Graduate School in accordance with the grant amount allocated to our University by the Turkish National Agency.
- The regulations published by Turkish National Agency will be followed in case mobility starts physically and then turns into virtual mobility depending on the conditions of the pandemic, natural disasters, force majeure, etc.
- It is the student’s responsibility to follow the abroad exit procedures, accommodation, passport, and visa application procedures.
Grant Amounts for 2024 Project Period Erasmus Short Term PhD Mobility
Erasmus+ offers funding for short-term PhD mobility to support PhD students in gaining international experience. The grant amounts are structured as follows:

Travel Assistance
The students will receive travel support to contribute to their travel expenses. The travel grant will be determined based on the km value between the starting point of the mobility and the place where the activity occurs. The distance between two points will be calculated using the distance calculator provided by the European Commission, using the table below. The amount that will be paid for the students according to the table below is considered a round-trip, and the amount is not multiplied by two.

- Eligible documents such as boarding passes, travel tickets (bus, train, flight), and passports will be asked from the students who take travel assistance to determine their round-trip days.
- In case of travel expenses exceed the “Standard Travel Grant Amount” of the above table an additional amount is not paid for due to the limited grant.
- There is no additional payment that will be made to students under the Erasmus+ Funds apart from the grant allocated to students. These expenses are paid by the students.
- 70% of Erasmus+ grant is paid before the mobility starts, and the remaining 30% is paid at the end of the mobility after the completion of the paperwork.
- Erasmus+ grant will be calculated according to dates on the invitation letter uploaded TURNAPortal during the application and the 70% amount of total grant to be paid into the student's account. The student receives the remaining 30% of grant payment according to the dates and success status in the participation certificate, which he/she will submit to the Office of International Affairs after completing his/her mobility.
- The mobility is considered non-valid in case the students do not deliver the documents such as a certificate of attendance or Transcript of Records that prove they participated in mobility. In that case, the grant is not paid to students, and a refund of the first payment of the grant is requested from the students.
- Students who are selected within the scope of one grant agreement but do not perform their mobilities in that agreement period are not included in the next agreement period on the grounds of “vested rights”. Students are selected for each agreement period and carry out their activities according to the selection conditions valid during the relevant agreement period. Students who do not perform their activities during the relevant agreement period must re-apply and be selected if they want to benefit from the activity later.
- Students cannot be selected to benefit from the Erasmus Short Term PhD mobility in the absence of the institution where they will do their internships.
- PhD students in the coursework phase who wish to participate in the mobility must plan their mobility according to the academic calendar. The traineeship dates mustn’t overlap with the course/exam period for those students. PhD students in the thesis period can carry out their mobilities during the academic year according to their academic works.

APPLICATION PROCESS:
Students, who want to apply to benefit from the Erasmus Short Term PhD Mobility in the SPRING/SUMMER semester of 2024-2025 academic year, can apply as of February 26, 2025 via https://turnaportal.ua.gov.tr/giris?returnUrl=%2F by entering their E-State passwords.

[1] War veterans, along with their spouses and children, and the spouses and children of martyrs of war, as well as, according to Article 21 of the Anti-Terror Law No. 3713 dated 12/4/1991, the spouses and children of "public officials who, whether during the performance of their duties domestically or abroad, or even if their titles have been revoked, were subjected to terrorist acts resulting in injury, disability, death, or being killed," and pursuant to Article 7 of Decree-Law No. 667 dated July 23, 2016, the spouses and children of those who lost their lives or civilians who were disabled due to the coup attempt and terrorist act carried out on July 15, 2016, and subsequent related acts, as well as their spouses and children, are given priority if they apply for Erasmus+ student mobility.
[2] To be prioritized, the student must present a Disability Health Committee report as specified in the "Regulation on Disability Assessment for Adults," published in the Official Gazette dated February 20, 2019, and numbered 30692.
[3] To be prioritized, the student must provide a document from the Ministry of Family and Social Policies indicating that they are under protection, care, or housing decision pursuant to Law No. 2828.
[4] This prioritization is applied only once. If the student participates in the mobility program, it will not be applied in subsequent applications. However, additional points will continue to be applied in subsequent applications if the student does not participate in the mobility.
